Claude Planned My SXSW and It's Insane
Published March 9, 2026 · 53 views on YouTube
Key takeaways
- A single prompt like 'turn into my ultimate SXSW planning assistant' is enough for Claude to start building a live dashboard artifact.
- Claude pulled in connected Google Calendar, Gmail, and HubSpot data automatically, so it already knew relevant context without extra setup.
- The artifact included a countdown timer to the event and a running list of specific happenings, like an AI builders event and other town activities.
- The dashboard updates in real time as you feed it more details, and the same approach works for any conference, festival, or show.
Can Claude build you a live event-planning dashboard?
Yes. Telling Claude “turn into my ultimate South by Southwest planning assistant” was enough for it to generate an artifact with a countdown timer, a running event schedule, and notes, all within the first five minutes of the conversation. It used already-connected Google Calendar, Gmail, and HubSpot data to understand context immediately.
What did the Claude artifact actually include?
The artifact tracked a countdown to the show (10 days out at the time of recording, down from 11 the day before), the show’s location and date (Persing, March 18th), and a specific side event the presenter is hosting from 2 to 4 on the 11th and 12th for AI builders. It also listed other SXSW-related events happening around town.
How do you keep refining the plan once Claude builds it?
You keep talking to it. As the presenter fed Claude more information, “this is stuff that I’m going to” or “this is stuff I want you to be aware of,” Claude edited the artifact live in the same conversation. The dashboard became a single ongoing thread to return to, update, and manage notes and memory across the whole weeklong event.
Does this only work for SXSW?
No. The video frames this as a repeatable pattern for any event, conference, festival, or show: open Claude, tell it what you want it to do, ask it to build a command center for the event, and iterate back and forth until it fits how you want to use it.
Full video transcript
Hey everybody. In this video, I’m going to share with you how to turn Claude into your ultimate planning assistant and show you how I’m doing it myself for South by Southwest. It’s happening starting this week here in Austin, Texas. So this was far simpler than I anticipated going, and I wanted to share with you how fast Claude was able to help get me set up and running here.
So all I did was open up my Claude and said, “Turn into my ultimate South by Southwest planning assistant.” And then Claude just started rocking and rolling, noting that I have my connectors, like my Google Calendar and Gmail, synced up and HubSpot, and so it knows a lot about me already. And then from the very first shot, Claude came back with this artifact where it even has a countdown timer. Yesterday it said 11, and now it’s 10 days to show. It’s counting everything all the way until our show on March 18th. It’s going to be at Persing. And you can see here, even on Wednesday, the 11th and 12th, another event that we’re hosting from 2 to 4 for AI builders, and then all of these other events that are happening in town.
And so as I was building out this artifact, I kept giving it additional information: “this is stuff that I’m going to,” “this is stuff I want you to be aware of,” and it started editing this artifact right here in front of me. And this was all in a matter of minutes. This was like the first 5 minutes of me giving Claude, “Hey, turn into my ultimate South by Southwest planning assistant.” If I wanted to give any more specifics, I could have done so here, but this did a very good job at creating a dashboard that I can just come back to and monitor.
Right now I have my entire thread here that I’m going to continue to update over the course of South by Southwest and kind of modify this and manage my notes in my memory from this weeklong event here inside of my Claude 2026 planning assist thread. So you could do this for any number of events, any number of conferences, festivals, shows, you name it. Just jump into Claude, tell it what you want it to do, become your ultimate planning assistant for whatever event, ask it to make you a command center to navigate this event, and then work with Claude back and forth to dial it in to absolute perfection for how you want to use Claude.
All right, if you liked that, you found that useful, like, subscribe, and share. See you in the next video.
