For a Gamma API contest, Darby built a workflow that turns a new community member’s intake form into a fully personalized onboarding roadmap. A Google Form feeds a Google Sheet, a Zapier agent monitors that sheet and calls Gamma’s API using a knowledge base of Darby’s business context, and the finished roadmap deck is delivered automatically by email and Slack.
What does the generated Gamma roadmap actually contain?
The roadmap is a “decision intelligence layer” built from the member’s own answers. It establishes a baseline understanding of their business and core challenges, identifies their ideal target audience and a single point of leverage, calls out quick wins, and lays out a 7-day starting point inside a broader 30-day roadmap. Why did Darby build this for community onboarding specifically?

Hey everybody, Darby here with my video walkthrough submission for the Gamma API contest. Thanks Gamma for putting this on. This is a lot of fun to learn how I could use the Gamma API inside of our own community workflow, which I’m going to show you what I created right now.
So basically what I did was create a decision intelligence layer roadmap that will be automated from somebody’s intake form on their application submission for our school community, and then create a kind of baseline understanding of their business from what they give us. They share their core challenges, and I’m using my other business as an example, and then we go into their ideal target audience, identifying a single leverage point, identify areas that they can win quick wins, and then create a starting point for 7 days to start to take action on that in a 30-day roadmap, as well as a few recommended workflows based on their situation, what they should be focusing on in terms of priority, things to stop doing, a strategic analysis of risks, and then how we can support as well.
The core need behind this is that increasing your community onboarding, customer retention, and optimizing for lifetime value is where a lot of communities fall short, and that’s keeping their members actually engaged and on membership. And so this will be something I incorporate into our paid community members for improving that overall onboarding experience.
So starting from a simple Google form: name, description, challenges, and a website that goes to a Google sheet. And this is a completed example, so you can see that information here. Once this sheet gets triggered, I have a Zapier agent set up that’s monitoring that sheet. I have this series of instructions that is designed, and you can see all the different sections of the Gamma right here, to go and generate the Gamma and then update the Google sheet.
And another key thing here is my knowledge base, which I have tied into a Google Drive, where it basically has all the context about our business, how we help people, a specific series of recipes and workflows that we use to generate these outputs. And from there, on the left-hand side, you can see the entire workflow gets run, and this is a completed workflow. It’s fully automated right now, and it actually ends up delivering this email first to me to see that it was delivered.
And then what I had to do is set a 3-minute delay inside of another Zapier workflow to monitor the generation ID, cause it takes about 90 seconds to generate in Gamma. And so once it generates in Gamma, this Zapier workflow is monitoring my Gamma account, which in here you can see all the Gamma generations I did for this project. It’s monitoring for that Gamma ID which gets generated there. It updates the Google spreadsheet where you can see the link right here, and then it sends me another email confirming that, and then it actually sends me a Slack message confirming that as well.
So at the end of the day, someone submits this with their key context about their business. Gamma monitors this spreadsheet and then initiates this workflow, and Gamma agents run the entire series of instructions aligned with my own custom knowledge source that I provided, creates the entire output here, and then generates those inside of my Gamma API generated section.
So from here, I would take this, I would review it myself, and I’m going to be using this with the people that are going to be onboarding as new paid members in our community, to create a custom personalized roadmap that they can start to use to implement and ultimately help them not just with onboarding, but continued ongoing support, so that they get the results that they are looking for.

I think the number one takeaway for me as a Gamma user is streamlining the time to value that I can create with Gamma for that round one presentation. So making it super simple for the people that are my clients and community that are onboarding, putting this information in here, and then using Gamma’s API with Zapier agents I just found to be most easy to use for the purpose of this challenge, and create the entire automated workflow and then piecing that together.
Because what I realized, and shout out to Max and the Gamma community for helping me out who helps with the API stuff, is that having to actually manually watch this so that after one, two, or three minutes of the Gamma deck, it actually could then trigger the next step of the workflow to send me an actual email notifying me it was ready. And then I’m in a position to just hop in, analyze this for my member, and then I can shoot a complimentary Loom video that gives more context and more personalization of my own recommendations for community members.
